The never-miss-a-call checklist: 12 fixes you can ship this week

Most call leaks are structural, not human. Nobody chooses to ignore a ringing phone — the routing, the coverage or the follow-up simply has a hole in it. Work through this list in order; the first six items cost nothing but attention.

Fix the basics first

  1. 1Pull a report of unanswered inbound calls by hour and weekday. You cannot fix a pattern you have not seen.
  2. 2Check whether a second simultaneous caller actually gets through. Test it with two phones.
  3. 3Reduce ring time before overflow. Six rings is already too long for a consumer caller.
  4. 4Make sure every published number — website, Google profile, invoices, ads — points somewhere that is answered.
  5. 5Turn voicemail into a promise you keep: state a callback window, and hold to it.
  6. 6Assign one owner for callbacks each day. Shared responsibility means no responsibility.

Then close the coverage gaps

  4. 4Capture the caller's number on every contact so nothing depends on them calling again.
  5. 5Log an outcome for every call: booked, callback, information, spam. Without outcomes you have no data.

Review those four numbers monthly. If unanswered calls creep back up, the cause is almost always a new number published somewhere without routing, or a rota that quietly stopped being followed.
