Dental clinics: the missed-call playbook for a full appointment book

ยท 7 min

In clinics, the phone competes with people standing at the counter. Reception is checking in a patient, taking payment, or supporting a treatment room โ€” and the line rings anyway. That structural conflict, not carelessness, is why practices routinely miss double-digit percentages of inbound calls.

Where appointments leak

  • Morning peak between 08:30 and 10:00, when the day's schedule is also being fixed.
  • Lunch closure, which many patients assume is a good time to call.
  • After 17:00, when working patients finally have a moment.
  • Cancellation calls that go unanswered, leaving a chair empty that could have been refilled.
  • New-patient calls, which are the most valuable and the least patient.

The playbook

  1. 1Let an AI agent answer overflow and closed hours, introduced clearly as an assistant of the practice.
  2. 2Script the intake precisely: name, phone, whether they are an existing patient, complaint, pain level, and preferred times.
  3. 3Define emergencies explicitly โ€” severe pain, trauma, swelling, bleeding โ€” and escalate them straight to the on-duty number.
  4. 4Handle the repeat questions with the knowledge base: opening hours, address, parking, insurance, prices for standard treatments, preparation instructions.
  5. 5Make cancellations a priority queue so freed slots go back on offer the same day.
  6. 6Review the day's transcripts at closing time; two minutes reveals what patients keep asking.

What never to automate

Do not let an agent give clinical advice, interpret symptoms as a diagnosis, quote a treatment price that depends on examination, or discuss results. The correct behaviour is a warm handover: acknowledge, capture, and route to a human quickly.

A practice does not need to answer every call personally. It needs every caller to end up on a list somebody works through.

Privacy and records

Call content in a healthcare context is sensitive. Keep recordings private and access-controlled, store data in the EU, minimise what you capture to what you need for the appointment, define a retention window, and make sure your provider signs a data processing agreement. Receply keeps recordings in a private bucket with signed, expiring links and per-organisation isolation.

Track three numbers: unanswered call rate, new-patient calls converted to appointments, and same-day refill rate for cancelled slots. Those three tell you whether the front desk is winning.

Let the next call be answered.
